A&S Workday Student Transition Working Group

The A&S Workday Student Transition Working Group was convened by Feng Sheng Hu, the Richard G. Engelsmann Dean of Arts & Sciences, and Erin McGlothlin, vice dean of undergraduate affairs, in November 2025 to assist A&S departments and programs with the transition to Workday Student.

The charge of the working group is to assist A&S departments and programs with the transition to Workday Student by:

  • Helping departments and programs identify what can be done within their respective academic units and with A&S core units (A&S registrar team, College of A&S, and Office of Graduate Studies) to solve problems
  • Establishing shared practices that address common challenges in Workday Student and distributing those practices for use in departments and programs
  • Identifying and conveying to A&S core units what issues need to be elevated to the Workday Student Support Team (WSST) and the Office of the University Registrar (OUR) so A&S can advocate for system improvements that support A&S and the user experience

The members of the working group are:

Student Information Systems Decommissioning Schedule

Workday Student functionality was enabled at WashU over a series of launches during the 2024-25 go-live year. This “rolling” approach to Workday Student go-live means that we are working in two academic system environments during this period of transition. To help A&S colleagues understand which system to use for which tasks when, the below table provides a snapshot of when the Office of the University Registrar (OUR) will decommission and remove access to elements of our current student information systems.

Please note that the current systems should only be used for real-time updates and should not be used for historical record updates with the exception of grade changes.

The Workday Student Support Team (WSST), in coordination with the OUR, will also communicate directly with groups transitioning to Workday (e.g., students, advisors, instructors, course section managers, and registrars) regarding their roles and activities in the new system.

**** Additional SISAdmin access will be removed on a rolling basis as functionality in Workday is turned on. Access to manually create new student records in SISAdmin will be removed after January 24, 2025, to match timelines in admissions systems. Admissions users will have access removed after January 24, 2025.

***** Access to notes will remain in Spring and Summer 2025. However, advisors should not create new notes in WebAdvising after the beginning of the second go-live (February 17, 2025) as they will not be converted to Workday.
